What happens to your booked taxi if your Heathrow or Gatwick flight is delayed or cancelled, and how to make sure the pickup still works.

A pre-booked airport taxi is meant to remove one thing from your list of worries — but only if you know what happens to that booking when the flight itself doesn't go to plan. Delays and cancellations at Heathrow and Gatwick are common enough that it's worth understanding this before you're standing in a departure lounge watching a status board change, not while it's happening.

The one detail that makes everything else work: your flight number

Giving the flight number at booking, not just an estimated pickup time, is what makes a delayed pickup manageable rather than a problem. A booking tied to a time slot alone has no way of knowing your flight landed late; a booking tied to a flight number can be tracked and adjusted against when you actually land. If you've booked without giving a flight number, that's the first thing to fix — even a quick message to add it after booking is worth doing.

Your flight is delayed, not cancelled

This is the more common scenario, and the more straightforward one. With a flight number attached, a delay generally doesn't require you to do anything — the pickup adjusts to your actual, revised landing time rather than the original schedule. Where it's worth being proactive: if the delay is substantial — several hours, or pushes your arrival into the middle of the night — it's still worth letting the operator know directly, particularly if the new time falls outside when you'd normally expect a car to be waiting. A known long delay is easier to plan around than an unexplained no-show.

Your flight is cancelled

A cancellation is a genuine change to the booking, not something that resolves itself. Once you know you're rebooked — a different day, a different time, or even a different airport entirely — treat the original pickup as needing to be amended or cancelled and a new one arranged for the actual new departure or arrival. The one thing to avoid: assuming a cancelled flight automatically cancels the taxi. It doesn't — a taxi booking and a flight booking are separate systems that don't talk to each other. If you don't get in touch, the original booking still stands for the original time.

Rebooked to a different terminal

Airlines sometimes shift cancelled or heavily delayed flights onto different aircraft or partner carriers operating from a different terminal at the same airport — this happens at both Heathrow and Gatwick. If your new boarding pass shows a different terminal from the one you originally booked against, update the booking with the new terminal as well as the new time; a pickup arranged for the wrong terminal at a large airport can mean a genuinely long walk or an internal transfer to reach the right place.

Diverted or landing overnight

Less commonly, a delayed or rerouted flight lands much later than planned — sometimes into the early hours.
