For a minicab to Olympia London, start with the event's hall and entrance instructions. “Olympia” identifies the destination, but it does not tell the driver whether you are a visitor heading to registration, an exhibitor carrying samples or a speaker due at a particular reception. Each needs a slightly different arrival plan.

This MiniCabFinder guide covers passenger journeys to the venue and onwards afterwards. It is separate from freight delivery and event accreditation. For the surrounding journey, see London minicab travel, Heathrow transfers and Gatwick transfers.

Which Olympia entrance should you book?

Use the entrance on your current event confirmation, together with the event name and hall. Olympia's official accessibility page, checked on 29 October 2026, distinguishes spaces including the Grand Hall, National Hall, West Hall and ICC. A single generic arrival pin cannot express all those destinations.

Download the organiser's current arrival information before travelling. If it differs from an old confirmation, clarify which instruction applies rather than guessing. Forward the relevant entrance information to the passenger and transport provider, especially when someone else made the booking.

Agree a permitted set-down point. An entrance label on a floor plan is for pedestrian navigation and does not itself give a car permission to stop there. The final vehicle approach should follow current restrictions and venue staff instructions, with walking needs discussed in advance.

Is Kensington Olympia station convenient?

Olympia's travel page places the venue beside Kensington (Olympia) station and lists Mildmay line and Southern services. It also describes Underground approaches using nearby stations. Check the live journey for your event date instead of assuming every line serves the station directly throughout the week.

For a visitor carrying a small bag, a suitable rail connection can be practical. Compare the total journey from your starting address, including changes and the final walk. Do not choose a car solely because a route looks complicated before checking whether a straightforward connection exists.

A minicab may suit a team travelling together, someone with substantial samples or a journey between a hotel and a specific event entrance. Compare a vehicle estimate with the real transport cost for the whole party and consider the equipment each person needs to carry.

How should exhibitors travel with materials?

Separate personal luggage and portable samples from freight or stand equipment. A passenger vehicle is not automatically suitable for deliveries, and a visitor entrance may not accept your materials. Ask the organiser which access process applies before requesting transport.

Describe every item with dimensions where size matters. A display tube, rigid sample case or folded banner can determine the suitable vehicle even when there are few passengers. Do not choose a vehicle by seats and assume that all remaining space can carry exhibition materials.

If you require loading-bay access, a vehicle pass or a timed delivery slot, settle that with the organiser. A transport confirmation does not grant access to restricted event areas. Our luggage guide helps with passenger vehicle sizing, but freight requirements need a separate arrangement appropriate to the load.

What arrival time should speakers and delegates use?

Work backwards from when you need to be ready inside. A speaker may need registration, a briefing and equipment checks before appearing; a delegate may need a badge before entering the hall. Use the organiser's schedule to establish the required arrival, then plan the vehicle journey around it.

Keep the venue contact and event booking reference accessible. If you arrive and discover the registration point has changed, contact the organiser rather than asking the driver to guess another entrance. The driver can help with the journey, but event access information belongs to the organiser.

For several colleagues, send one shared itinerary containing the correct entrance and a passenger contact. If their attendance times differ, avoid forcing everyone into one departure merely to reduce the number of bookings. The useful vehicle plan reflects the actual commitments of the people travelling.

Can you arrive directly from an airport?

You can request an airport-to-Olympia journey, supplying the flight details, arrival terminal and event entrance. Allow separately for immigration, baggage and the road journey before registration. A scheduled landing time is not a reliable meeting time at the venue.

If the session is essential, consider arriving the previous day rather than depending on a tight flight connection. For a same-day arrival, identify who can cover registration or presentation duties if the flight changes. That contingency is more practical than adding an optimistic travel time to the invitation.

Check the event's luggage and cloakroom arrangements before arriving with cases. A hotel stop may be necessary if storage is unavailable or unsuitable. Include it in the vehicle request so the price and timing reflect the actual itinerary, not an assumed direct run.

How should you plan collection after the exhibition?

Choose a return time based on when you can leave, not simply when the show closes. Exhibitors may still need to pack materials; visitors may have a final meeting; speakers may be expected to stay for questions. Confirm these obligations before setting the vehicle collection time.

Agree a meeting location that the driver can legally reach and send the same instructions to every passenger. If staff redirect people on the day, update the driver before walking elsewhere. Do not let half the team gather at one entrance while the other half follows an old map.

For an airport departure, build the schedule backwards from the airline's terminal arrival requirement. Include packing, luggage collection and the walk out of the hall. If a late meeting would use up the airport margin, leave the meeting earlier rather than assuming the road journey can make up the difference.

What should a company organiser confirm?

Provide the travelling passenger's contact number as well as the organiser's, and identify who can approve an itinerary change. List all intermediate stops and the luggage expected on each leg. The load may be different after an exhibition if sample cases or purchases are coming back with the group.

Ask for the final journey price, waiting terms and the receipt information required by your company. Displayed prices are estimates and may vary. Our corporate travel guide covers the booking responsibilities, while the expenses guide covers the traveller's records.

Before sending the itinerary, read it from the passenger's perspective: can they identify the entrance, find the contact number and understand the return meeting point without calling you? If those details are missing, resolve them before the day becomes busy.
